How EIE handles personal data

This notice describes the processing of personal data in connection with this website and communications with the Institute. It does not replace specific notices for individual courses or projects.

Who is responsible?

The data controller is Esplora Instituto de Esperantologio (EIE), a Swedish non-profit association (ideell förening), based at Stiftelsevägen 1, 682 60 Lesjöfors, Sweden. For privacy enquiries, write to institut@esperantio.net.

What data may we receive?

When you contact us or apply for membership, teaching or research collaboration, we may receive your name, email address, contact details and the contents of your message or proposal. Technical server logs may contain IP addresses and access information.

Purposes and legal bases

We use information to answer enquiries, assess applications and research proposals, organise association activities and meet legal obligations where applicable. The legal basis depends on the circumstances: steps towards or performance of a contract, a legal obligation, or a legitimate interest in responding to correspondence and administering the Institute.

Retention and service providers

We retain data only for as long as necessary for the relevant purpose or as required by applicable law. Hosting and email providers may process technical data in order to deliver their services. Contact us to ask about the retention period applicable to your data.

Cookies and administration

The administration panel uses a necessary session cookie for secure access by authorised administrators. We have not integrated advertising or analytics trackers into the current public website. If these practices change, we will update this notice and seek consent where required.

Your rights

Under applicable data protection law, you may request access to, rectification or erasure of your data, restriction of processing or object to it; data portability may also apply. You may lodge a complaint with the Swedish supervisory authority, Integritetsskyddsmyndigheten (IMY).
